Operations Coordinator, Colectiva Legal del Pueblo
Position:
Colectiva seeks a passionate and motivated person to manage Colectiva’s day-to-day operations. This includes financial and office management responsibilities as well as typical HR tasks. The Operations Coordinator plays a key role in the administration of the organization’s finances and implementation of internal policies. An ideal candidate will be an excellent communicator with the ability to multitask well.
Responsibilities:
- Collaborate with contracted accountants to maintain financial books, including classification of all income and expenses
- Ensure efficient, accurate and compliant financial management in accordance with Colectiva’s financial policies
- Assist accountants in the completion of annual audit and IRS Form 990
- Input individual donations into donation software and routinely send out acknowledgment letters to donors
- Develop annual budget in tandem with the Finance Team and contracted accountants
- Administer accounts payable and receivable
- Make regular deposits and ensure proper documentation
- Issue in-house checks when necessary
- Administration of staff benefits including healthcare and PTO
- Maintain personnel files
- Orientation and on-boarding of new-hires including guiding new hires that have less knowledge of collective structures
- Implement and routinely update Colectiva’s Employee Handbook as policies are developed and/or updated
- Making sure all staff proposals adhere with Colectiva’s consensus policies and that reviews of those policies take place
- Coordinate and conduct annual work evaluations of all Colectiva staff members
- Prepare and submit quarterly invoices and financial reports to grantors
- Provide direct deposit and related financial information to funders upon request
- Support with funder relationship building and engagement
- Procurement of office supplies and materials
- Facilities and utilities management, ensuring prompt rent and utilities payments and maintaining contact with property managers in case of any needed repairs
- Maintain an organized filing system for quick retrieval of information
- Maintain updated inventory of technological assets, periodically update remote device management services and ensure all employees have access to the technology/software they need to perform their job duties
- Renew memberships, insurances, and licenses needed for state and federal business compliance and general operating requirements on an annual basis
Qualifications:
- Demonstrated commitment to immigrant rights and social justice issues, and CLPs organizational values 2+ years of relevant experience in Operations, Finance, and/ or Nonprofit administration preferred
- Strong verbal and written communication skills and commitment to follow through
- Models transparency and accountability to solve problems
- Excellent interpersonal and relationship-building skills
- Ability to manage multiple projects at once and prioritize tasks as needed
- Ability to thrive in a changing environment and to remain flexible and adaptive
- High degree of ownership, and able to proactively identify opportunities and propose solutions
- Must be a self-starter, quick learner, and work independently while also being collaborative and a fantastic team player
- Proficient in Gsuite, Zoom and Excel
- Proficiency in Spanish is preferred but not required.
