Director of Operations, I-ARC

Position:

The Director of Operations will be involved in leading all aspects of Immigrant ARC’s operations and will serve as a key member of Immigrant ARC’s upper management.  The Director of Operations will have principal oversight for Immigrant ARC’s operating systems, regulatory compliance, information technology, and human resources.

The ideal candidate will have demonstrated success in driving excellence by managing and growing operations for a mission-driven team. The ideal candidate will be a creative, effective systems thinker who can help Immigrant ARC scale and continue to operate sustainably.  The ideal candidate will have extensive experience building operating systems and driving the operation of nonprofit organizations, drawing on management experience across for-profit and non-profit sectors.

 

Responsibilities:

  • Ensure compliance with all regulatory requirements
  • Build organizational operating systems, define management systems and SOPs, and oversee best practices
  • Create and maintain organizational governance practices, policies and procedures
  • Facilitate insurance renewals for staff and board
  • Maintain records of all contracts, agreements, and related documents
  • Manage relationships with contractors, third-party service organizations, and other operations vendors
  • Liaise with financial vendors and outsourced staff to ensure appropriate information is relayed in a timely manner to bookkeepers and financial advisers.
  • Pay bills and invoices in a timely manner and ensure I-ARC is up to date on its financial obligations, including re-grant contracts and payments.
  • Work with the Executive Director to create budgets for grant proposals and government contracts.
  • In partnership with the Executive Director and the Chief of Staff, develop HR initiatives and company policies
  • Prepare job descriptions for all paid and unpaid staff
  • Maintain Employee Handbook
  • Prepare, oversee, and maintain records of annual performance reviews
  • Manage the hiring process for new staff
  • Assist teams with development of internship opportunities
  • Coordinate state and federally mandated training for staff
  • Manage relationships with contractors, third-party servicers, and vendors for payroll, HR, and benefits administration
  • Manage the administration of employee benefits programs
  • Manage organizational assets, including assignment, maintenance and digital license assignment
  • Maintain VOIP phone system
  • Manage IT, including administering digital platforms and creating internal controls, and providing IT support to staff, as needed
  • Ensure cyber security protection and compliance for all devices
  • Directly supervise administrative support staff

Qualifications:

  • Minimum 10 years experience with track record of assuming leadership roles
  • Success in roles requiring execution of multiple tasks while responding to multiple priorities
  • Nonprofit management, operations, IT, and senior level leadership experience required
  • Ability to stay highly organized and multitask in a dynamic environment, and to  work quickly and accurately under pressure
  • Exemplary capacity to maintain confidentiality and discretion
  • Excellent oral and written communication skills
  • A strong attention to detail
  • Comfort communicating with outside partners of all backgrounds
  • A track record for going the extra mile at work, consistently taking initiative, thinking ahead, putting in the extra effort, and delivering beyond expectations
  • Passionate about I-ARC’s mission and impact
  • Excellent strategic thinking skills
  • Highly organized and detail-oriented
  • Demonstrated success in leading end-to-end projects
  • Demonstrated ability to work collaboratively with colleagues, encouraging team members in the performance of their duties
  • Fluency in other languages a plus
